Your other software
Webhooks
- What it does
- Send a signed message to your own software the moment a booking or statement changes. Confirmed, moved and cancelled bookings, and statements created, voided and paid. Most organisations never need this.
- Default
- None.
- For
- Venues with someone technical and another system to keep in step.
- Part of
- Diary & Billing
- Leave it alone if
- Nothing else needs to know when a booking changes.
- For example
- A village hall. A spreadsheet that fills itself in when a booking is confirmed.
- A co-working hub. A door code sent when a desk is booked.
Include member contact details (name and email)
- What it does
- Whether the messages carry the member's name and email. Off by default: the events say what was booked, not who. Turn it on only if your software must match members to its own records.
- Default
- Off.
- For
- Automations that must match members to their own records.
- Part of
- Diary & Billing
- Leave it alone if
- The events only need to say what was booked.
- For example
- A co-working hub. Matching members to an invoicing package.
Assistants
Connected assistants
- What it does
- Let an AI assistant, such as Claude, read your bookings and help with admin. Paste the connector address into the assistant and approve what it may see. Each connection is listed here and can be revoked.
- Default
- None.
- For
- Admins who use an AI assistant for the paperwork.
- Part of
- Diary & Billing
- Leave it alone if
- You do not use one.
- For example
- A village hall. Which rooms are free on Thursday afternoon for a workshop?
Member email addresses
- What it does
- Whether assistants may read member email addresses. Off by default: assistants see names, as admins do, but not emails. Separate from the webhook switch.
- Default
- Off.
- For
- Assistants that genuinely need to email members.
- Part of
- Diary & Billing
- Leave it alone if
- Names are enough for what you ask it.
- For example
- A therapy practice. Off, so the assistant never sees a therapist's address.
What I never do
- I never send a member's email address to another system unless you switch it on for that system.
- I never let an assistant change a booking. It can read, and it can draft.
- I never sync a calendar back into the diary. Calendar links and feeds flow one way, out.
