The before
A room diary that lived in a spreadsheet
For years, the room diary lived in an Excel spreadsheet. Any booking, change, or cancellation meant an email or a phone call to Kirsten, the clinical lead. With twenty-five counselors coming and going - many of them volunteers or trainees who needed guidance from the start - that added up.
The rollout

Beyond Counselling loaded their rooms, added their members, and began populating the diary with existing bookings. Rather than switching everyone over at once, they rolled the app out to their counselors in small batches over three or four days - letting people find their feet before the next group came on board. Within a week, the whole organization was running on it.
