Payment providers
Getting paid
- What it does
- Take card payments for statements and hires, settled into your own Stripe account. Once connected, every statement email and hire invoice carries a pay link. The money goes straight to you and I take no cut.
- Default
- Not connected.
- For
- Venues that want members and hirers to pay by card.
- Part of
- Diary & Billing
- Leave it alone if
- Everyone pays by bank transfer, cheque or cash.
- For example
- A therapy practice. Therapists pay their monthly statement from the link in the email.
- A village hall. A hirer pays the deposit for a Saturday party from their phone the same evening.
Billing cycle
Billing period
- What it does
- How often statements go out, on which day, and how long members have to pay. On the statement day I add up each member's bookings, plan fee and extras into one statement. The payment terms set the due date, which is also how long you have to adjust a statement.
- Default
- Monthly, statement on day 1, due on receipt.
- For
- Every venue that charges.
- Part of
- Diary & Billing, owner only
- For example
- A therapy practice. Statements on the first of the month for the month before, with a fortnight to pay.
- A village hall. Weekly statements every Monday for the regular classes.
- A co-working hub. Monthly, in advance for desks.
Payment details
- What it does
- How members pay you by bank transfer or cash, printed on every statement. Whatever you write here appears beneath the total. Leave it blank if everyone pays by card.
- Default
- Not set.
- For
- Venues paid by bank transfer or cash.
- Part of
- Diary & Billing, owner only
- Leave it alone if
- You only take card payments.
- For example
- A village hall. The hall's sort code and account number, with a note to quote your surname.
Send statements automatically
- What it does
- Whether statements are emailed the moment they are made, or wait for you. On: every member gets their statement by email on the statement day. Off: statements wait as drafts on Payments, Statements, for you to check, adjust and send.
- Default
- On.
- For
- Venues happy for statements to go out unread.
- Part of
- Diary & Billing, owner only
- Leave it alone if
- You trust the numbers and want the run to happen without you.
- For example
- A village hall. A committee turns it off so the treasurer can check the cleaning fees before members see them.
Collect automatically
- What it does
- Charge a member's saved card on the due date, if they have asked for that. Only members who saved a card and authorised it themselves are collected from. Everyone else keeps their pay link.
- Default
- Off. The switch appears once a card provider is connected.
- For
- Venues with regular members who would rather not think about paying each month.
- Part of
- Diary & Billing, owner only
- Leave it alone if
- You prefer everyone to click and pay each statement themselves.
- For example
- A therapy practice. Practitioners authorise their card once and the month's room time is collected on the due date.
Put members on hold when overdue
- What it does
- Stop a member booking anything new while a statement is overdue. Off unless you switch it on. Nothing already booked is touched, and the hold lifts by itself the moment they pay.
- Default
- Never.
- For
- Venues that want an overdue bill to stop new bookings without a difficult conversation.
- Part of
- Diary & Billing, owner only
- Leave it alone if
- You would never stop a member booking over money.
- For example
- A co-working hub. A fortnight after the due date, an unpaid member cannot book a desk until they settle up.
What I never do
- I never take a payment at the moment someone books a room. Prices go on a statement, and the money goes to you.
- I never hold your money or take a cut. Card payments settle into your own Stripe account.
- I never charge a member's card unless they saved it and asked me to.
- I never cancel a booking because a statement is overdue.
